Suggestions for Charter Night Planning

President names at least three committee members afterthe initial Board Meeting
Committee plans and executes the event and reports weeklyto the club
Local youth entertainment (15-20 minutes) is suggested
Committee prepares and prints the Charter Night Celebration Program. A suggested format is included in this file.
Set Charter Night date at least 60 days from organizationdate. Do not rush it!
Date must be accepted by the Lt. Governor and Governor
Lt. Governor hosts the event
Prepare Invitation and Mailing List
Meal cost, method of payment instructions, point of contactwith phone and e-mail, mailing instruction with no-later-than-datereply should be included in the invitation
Expect some 40 to 100 Kiwanians and Guests to attend
Club should not absorb costs of those who accepted the invitationbut did not attend
Mail invitations at least 21 days before the event to:
a. Charter Members and Spouses,
b. Local Officials (complimentary),
c. Sponsoring Division Clubs,
d. Lt. Governors on a joining Divisions,
e. Governor Asa and Immediate Past International Presidents TedOsborn and Bo Shafer,
f. Other District/International Leaders, as deemed appropriate,and
g. Local news media
Plan the event to run between 1:30 to 2:00 hours; begin around6:30 PM.
Remember some must travel long distances.
Develop Budget
Club pays hotel and food expenses incurred by Governor andImmediate Past President Bo
Club should consider the meal complimentary for local dignitaries
Keep the expense for attendees as low a possible and set mealcost to, at least, breakeven. Meal costs seem to run between$10.00 to $25.00 per person depending upon location, meal choiceand meal provider
Other Actions
Lt. Governor /New Club Builder should provide addresses forPresident Bo Shafer, Governor Asa Bishop, Division 3 Club Presidents,and other District leaders; District Office can also provide.
Invite local news media.
Identify someone to take pictures for the club file, local newspapers,and District Newsletter
Keep each item on the agenda brief. Endless introductions andtoo many speakers can spoil the fun and excitement of this specialcelebration. Start and end on time.
